Frequently asked questions

We remind you that the applicant must request the transfer of all the PART FCL licenses of which it is the holder, corresponding to the different categories of aircraft, if applicable.

To initiate the transfer of license to AESA, the interested party must:

  1. Request from your licensing authority the transfer of the medical file to the Aeronautical Medicine Division of AESA.
  2. Access the E-Office of AESA.
  3. Select the relevant licensing procedure depending on the type of aircraft (aeroplane, helicopter, balloon or sailplane ).
  4. Complete the telematic application and attach the required documentation together with proof of payment of the fee 31a.

For the transfer of their pilot licence issued by EASA to another EASA authority, the data subject shall:

  1. Access the license transfer process of the AESA Electronic Headquarters.
  2. Complete the telematic application indicating the EASA aeronautical authority to which the licence is transferred.
  3. Complete the medical file transfer form.

You can obtain the information note (current content only) and/or the historical report (includes non-current content) of the airplane or helicopter pilot licence through the Licences and Certificates section.

Alternatively you have the possibility to request it through an application instance through an office in matters of registration and only in the case that you can not access through Electronic Headquarters:  Request for Information Note, Licence History Report.

After receiving an email with the notice of a notification, to accept or reject it, you must access AESA's Notice to Appear, make sure when accessing that the electronic certificate corresponds to that of the recipient of the notification.

If you do not see it in the section "Notifications Pending" it is possible that the notification has been made to several recipients at the same time or that it has expired. In these cases try first to look for the notification in the section "Notifications made". Apply the appropriate filters and remember to press the "Search" button.

If the notification still does not appear, please inform us of this situation through the AESA contact form, select in the deplagable an appropriate subject (for ground handling inspections, ground handling authorisations or responsible fuel declarations the subject will be "Handling related issues"), it is very important that you indicate in your query the file number associated with the notification, you can find it in the subject of the message received, or as part of the "File title".

In the event that a representative causes withdrawal from an organization or loses its capacity to represent, and is also associated with files of the organization, it is necessary to notify as soon as possible of this situation through the contact form of AESA, select in the deplagable an appropriate matter (for ground handling inspections, ground handling authorizations or responsible fuel declarations the matter will be "Questions related to handling") requesting that we withdraw access to the files of the entity to this representative.

Access the electronic headquarters of AESA, section My Files (Virtual Office), it is important to press the "Search" button, since by default no element appears.

If the file does not appear, make sure you have accessed the premises with the appropriate electronic certificate.

In case you still do not locate the file, you can contact us through the contact form of AESA , select in the deplagable an appropriate subject (for ground handling inspections, ground handling authorizations or responsible fuel declarations the subject will be "Maintenance related issues") and do not forget to include the file number if you have it.

Before performing any skill test, the examiner must obtain a specific designation issued by EASA for that assessment process. The designation identifies the examiner responsible and sets the conditions for the execution of the test, mainly the place and date.

Designation is a prerequisite to taking the test. However, receiving the appointment does not exempt the examiner from verifying that he maintains his powers in force and from complying with the rest of the provisions applicable to the exercise of his functions as established by Reg. 1178/2011.

The examiner must send an email to examinadores.aesa@seguridadaerea.es at least 5 calendar days before the scheduled date of the test.

The email must include, in the body of the message: examiner data, applicant data and test data: type of test, location, date and time of completion.  The use of the following table is recommended.

Details of the examiner
Name
Surname
N.º Certificate Examiner
Data of the Aspirant
Name
Surname
N.º Identification
(license/DNI/NIE/Passport)

Test details
Type of test
Location (Aerodrome, area of
operation or simulator situation)

Date of completion
Time of completion

Si AESA verifica que la información es conforme y que se cumple el plazo, confirmará la designación mediante correo electrónico y facilitará un código de referencia asociado al proceso evaluador.

The deadline does not include the day on which the request is sent or the day on which the test is scheduled to take place. Therefore, the examiner must send the request with sufficient margin so that there are 5 full calendar days between both times.

If the application is submitted without respecting this margin, EASA may refuse the designation, even if the rest of the information provided is correct.

AESA may deny designation when the minimum time limit is not respected or when data are missing, incorrect or not in accordance with the requirements set out in the Flight Examiner's Guide to Action.

In that case, AESA will communicate the non-designation to the interested party by email. Without a valid designation, the skill test should not be carried out within the established procedure.
